Example project price £838.51
Based on your project hours and project expenses.

Equivalent project days 2.50

How the rate is calculated: required annual revenue = (target annual income + annual business expenses) × (1 + allowance ÷ 100). Billable hours = working weeks × hours per week × (1 − non-billable time ÷ 100). The recommended hourly rate is required annual revenue divided by annual billable hours.

The results are estimates for pricing and business planning. The tax or contingency allowance is a general planning buffer and does not calculate your actual tax liability, VAT, sales tax, pension contributions or other jurisdiction-specific obligations.

What Is a Consultancy Rate Calculator?

A consultancy rate calculator helps consultants estimate how much they need to charge for their professional services. Instead of choosing an hourly or daily rate based only on market prices or the number of hours worked, this calculator works backwards from your desired income and accounts for business expenses, non-billable work and a planning allowance.

It can be useful for independent consultants, management consultants, IT consultants, marketing consultants, financial consultants, business advisers, project specialists and other professional service providers who need to establish an appropriate hourly rate, daily rate or project fee.

Why Use a Consultancy Rate Calculator?

Setting consultancy prices from your actual business requirements can help you understand whether your proposed rate is capable of supporting your income target. The calculator provides several useful figures from the same set of assumptions.

1

Income-Based Pricing

Start with the annual income you want to achieve and calculate the revenue required to support that target.

2

Business Expenses

Include recurring consultancy costs so your recommended rate accounts for the expenses involved in running your business.

3

Non-Billable Time

Allow for administration, marketing, proposals, sales and other work that cannot normally be charged directly to clients.

4

Hourly and Daily Rates

See both an estimated hourly consultancy rate and a daily rate based on the number of billable hours in your working day.

5

Project Pricing

Estimate a project fee from your recommended hourly rate, expected project hours and any additional project expenses.

6

Multiple Currencies

Calculate consultancy rates using GBP, USD, EUR, CAD, AUD, NZD, CHF or JPY depending on the market you work in.

How to Use the Consultancy Rate Calculator

Enter realistic assumptions about your income requirements, business costs and available working time. The calculator will then estimate the consultancy rates needed to meet those assumptions.

  1. Choose your currency — Select the currency you use when setting your consultancy prices and entering financial figures.
  2. Enter your income and expenses — Add your target annual income and estimated annual business expenses.
  3. Set your working assumptions — Enter working weeks, weekly hours, non-billable time and your planning allowance.
  4. Review your rates — Check the recommended hourly rate, daily rate, project price, annual revenue requirement and other results before setting your consultancy prices.

Calculate Your Consultancy Hourly Rate and Day Rate

A consultancy hourly rate should reflect more than the time spent directly delivering work to a client. Consultants also have to account for time spent finding work, preparing proposals, managing projects, handling administration, maintaining professional skills and performing other activities that may not be separately billable. Business expenses also need to be recovered through client revenue.

For example, suppose a consultant targets £40,000 of annual income, has £5,000 of annual business expenses, applies a 20% planning allowance and works 46 weeks per year for 40 hours per week. If 30% of working time is non-billable, the consultant has approximately 1,288 billable hours available. The required annual revenue is £54,000, producing an estimated hourly rate of approximately £41.93. At eight billable hours per day, the equivalent daily rate is approximately £335.40.

Why Non-Billable Time Matters

Using every working hour when calculating a consultancy rate can produce an unrealistically low price. A consultant working 40 hours per week may not be able to invoice all 40 hours. Client acquisition, networking, accounting, email, administration, planning and business development all consume time. Removing non-billable hours gives a better estimate of the actual number of hours that can generate revenue.

Hourly Rates, Daily Rates and Project Pricing

An hourly rate can be useful when the amount of work is uncertain or when clients are billed according to time. A daily consultancy rate can be more convenient for longer engagements, while a fixed project price can make sense when the scope and deliverables are clearly defined. The calculator provides all three perspectives so you can compare different pricing approaches.

Understanding Your Consultancy Rate Calculation

The calculator first determines the revenue required to support your target income and annual business expenses. It then applies the tax or contingency allowance entered in the form. Your annual billable hours are calculated from your working weeks, weekly working hours and the percentage of time that is expected to be non-billable.

The resulting hourly rate is a planning figure rather than a guarantee of what the market will pay. Your final consultancy price may also need to reflect your expertise, experience, specialist knowledge, demand, competition, client value, project complexity, risk, contract length and the commercial value of the outcome you provide. The allowance in this calculator is not a calculation of actual income tax or other statutory liabilities.

Frequently Asked Questions

A consultancy rate calculator estimates the hourly rate, daily rate and project price a consultant may need to charge based on an income target, business expenses, working time, non-billable time and a planning allowance.
The calculator adds your target annual income and annual business expenses, applies the tax or contingency allowance, and divides the resulting revenue requirement by your estimated annual billable hours.
Consultants rarely spend every working hour on paid client work. Time spent on administration, marketing, sales, proposals, training and other activities reduces the number of hours available for billing, so including non-billable time produces a more realistic rate.
Yes. Business expenses such as software, insurance, equipment, professional services, travel and other operating costs need to be covered by consultancy revenue, so including them helps prevent your rate from being set too low.
Yes. Enter the estimated project hours and any project-specific expenses to calculate an example project price using the recommended hourly rate.
No. The tax or contingency allowance is a planning buffer rather than a tax calculation. Actual taxes depend on your country, business structure, income and individual circumstances.
